Voxtera operates a multilingual voice and messaging concierge for hospitality. This policy explains what personal data we process when you interact with Voxtera — by voice, on the web, or through messaging channels such as WhatsApp — and the choices you have.

This policy applies to Voxtera, operated by 9285‑3381 Québec inc. ("Voxtera", "we", "us"), a company registered in Québec, Canada. For properties that deploy Voxtera, the hotel or operator is the data controller for their guests' data and Voxtera acts as their data processor under a Data Processing Agreement.

Where the GDPR or UK GDPR applies, we process personal data under one or more of: performance of a contract (delivering the concierge service you requested), legitimate interests (operating and securing the service), consent (where required, such as recording where applicable), and legal obligation.

4. Voice recordings

Voice interactions are processed to detect language, understand the request, and generate a reply and summary. Audio recording and retention can be disabled on a per‑property basis. Where a property enables recording, it is responsible for obtaining any consent required in its jurisdiction.

5. Messaging channels (WhatsApp and others)

When you message a Voxtera number on WhatsApp, your message is delivered to us through the WhatsApp Business Platform operated by Meta. Meta's handling of your data is governed by its own terms and privacy policy. We use your number and message solely to respond to your request and to log it for the property's team. We do not sell your data or use it for advertising.

We do not sell personal data.

7. International transfers

Voxtera is deployed in the region closest to the property where practical. Where personal data is transferred across borders, we rely on appropriate safeguards such as Standard Contractual Clauses.

8. Data retention

We keep conversation data only as long as needed to deliver the service, fulfil the request, meet the property's configured retention period, and comply with legal obligations — after which it is deleted or anonymised. Properties may configure shorter retention or disable storage of audio.

9. Security

Data is encrypted in transit (TLS 1.3) and at rest (AES‑256). Access is restricted on a need‑to‑know basis. No method of transmission or storage is perfectly secure, but we maintain safeguards appropriate to the sensitivity of the data.

10. Your rights

Depending on where you live, you may have rights to access, correct, delete, port, or object to/restrict processing of your personal data, and to withdraw consent. Because the property is usually the controller of guest data, we will forward your request to the relevant property and assist them in responding. 11. Children

Voxtera is intended for use by adults in a hospitality context and is not directed to children. We do not knowingly collect personal data from children.

12. Changes to this policy

We may update this policy from time to time. The "Last updated" date above reflects the latest version. Material changes will be communicated through the service or to the operating property.
